  • A description of the situation — what kind of damage, when it happened, what you’ve already done
  • Photos or documents you choose to send us (insurance paperwork, prior inspection reports, etc.)

Information We Generate During a Project

When we perform work at your property, we create records that include:

  • Moisture readings and psychrometric logs from drying equipment
  • Thermal images of affected areas
  • Project photographs documenting before, during, and after conditions
  • Xactimate-formatted estimates and invoices
  • Insurance claim correspondence with your carrier (Allstate, State Farm, USAA, Liberty Mutual, etc.)
  • Drying Goal Met certifications and post-remediation verification reports

This is the project file — the record of work performed at your property. It belongs to your project and we retain it as described in “How Long We Keep Information” below.

Information We Do NOT Collect

To be specific about what we don’t do:

  • We do not run Google Analytics, Facebook Pixel, TikTok Pixel, LinkedIn Insight Tag, or any other behavioral tracking script on this website
  • We do not use advertising retargeting cookies
  • We do not send marketing emails, newsletters, or promotional SMS
  • We do not sell, rent, or share your information with third-party marketers, lead aggregators, or data brokers
  • We do not use your project information or photos for advertising purposes without specifically asking your permission first
  • We do not maintain a customer database for outbound sales calls

Our website may use a small number of essential cookies for basic site functions like page caching and form security. These are not used for tracking and are not shared with advertisers.

How We Use What We Collect

We use the information you give us only for the following purposes:

  • To return your call, email, or contact form submission
  • To dispatch a technician to your property
  • To document, perform, and complete restoration work at your property
  • To prepare and submit insurance claim documentation to your carrier on your behalf
  • To invoice for completed work and process payment
  • To maintain warranty records for the work we performed (the Drying Goal Met certification carries a 12-month warranty; reconstruction work carries a 1–2 year warranty depending on scope)
  • To respond to a request from you for project records, references for a future buyer, or supporting documentation for a refinance or insurance dispute
  • To comply with Utah Department of Commerce, IICRC, EPA, OSHA, or insurance carrier audit requirements when applicable

Who We Share Your Information With

We share your information only with people and entities directly involved in completing your project:

  • Your insurance carrier and adjuster, when you’ve authorized us to bill the carrier directly or to coordinate with them on your claim
  • Third-party laboratories that perform mold air sampling or post-remediation verification testing on your project
  • Specialty trades we coordinate with on your project when needed (e.g., a licensed electrician if water damage involves electrical work, a licensed plumber for source-of-loss repairs)
  • Our accountant and bookkeeper, who handle invoicing and tax records under standard professional confidentiality
  • Government agencies, when legally required (court order, subpoena, audit by Utah DOC DPL, EPA, OSHA, or similar)

We do not share your information with anyone else without first asking you.

How We Store and Protect Information

Project files are stored in a combination of secured paper records at our Spanish Fork office, encrypted cloud storage with restricted employee access, and password-protected estimating software (Xactimate). Payment information is processed through PCI-compliant payment processors and is not stored on our systems beyond the transaction record (last four digits of card, transaction date, amount).

We restrict access to your information to employees who need it to do their jobs — the technicians on your project, the project manager handling the file, and the office staff handling billing. We do not give blanket access to all staff.

How Long We Keep Information

  • Initial inquiry information (someone who called or emailed but didn’t become a customer): kept for up to 12 months, then deleted
  • Customer project files: kept for at least 7 years to satisfy Utah construction record-keeping requirements, IICRC documentation standards, and insurance audit requirements; project photos and moisture documentation may be kept longer if needed for warranty claims or future buyer inspections
  • Tax and accounting records: kept for 7 years per IRS guidelines
  • Insurance claim correspondence: kept for the duration required by your carrier’s documentation policy, typically 5–7 years

Your Rights

Regardless of where you live, if you have given us your information you have the right to:

  • Request a copy of the information we have about you
  • Request a correction if any of it is wrong
  • Request that we delete your information (subject to the legal retention requirements described above — for example, we cannot delete tax records before the IRS retention period ends)
  • Withdraw any consent you previously gave us — for example, if you authorized us to share project photos with a real estate agent, you can revoke that authorization
  • Ask us how your information is being used at any time

Service Area Note

4Sure Mold Removal serves Utah County only — Spanish Fork, Springville, Salem, Payson, and Mapleton, with limited service to nearby Utah County addresses. We do not market or operate outside Utah and we do not knowingly collect information from residents of other states. If you live outside Utah and contact us by mistake, please let us know and we will delete your inquiry information promptly.

If your state’s privacy law (CCPA/CPRA in California, CPA in Colorado, VCDPA in Virginia, CTDPA in Connecticut, UCPA in Utah, or similar) gives you specific rights beyond those described above, those rights apply automatically and you do not need to invoke them by name to exercise them. Utah’s Consumer Privacy Act (UCPA) currently applies only to data controllers processing personal data of 100,000+ Utah residents annually or 25,000+ Utah residents combined with 50%+ revenue from data sales — neither threshold applies to 4Sure Mold Removal, but the rights described above apply to all customers regardless.

Children

Our services and website are intended for property owners and their authorized representatives. We do not knowingly collect personal information from children under 13. If a child has submitted information to us through any means, please contact us and we will delete it.

Third-Party Links

Our website may link to third-party sites — Google Maps for our location, social media platforms (LinkedIn, Facebook, YouTube, Pinterest, Reddit, TikTok), the IICRC verification page, and similar. When you follow those links, you leave our website and become subject to the privacy policy of whichever site you visit. We have no control over and accept no responsibility for the privacy practices of third-party sites.

Photos of Your Property

During every restoration project we take photographs of work conditions for our project file and for insurance documentation. These photos are part of the project record and we retain them as described above. We do not publish identifiable photos of your property — exterior shots, address signs, recognizable features — on our website, social media, or marketing materials without your explicit written permission. The Gallery and Reviews sections of our website use photos with identifying details redacted and neighborhood-level location tagging only (e.g., “Spanish Oaks, Spanish Fork” rather than a specific address).

Changes to This Policy

If we change anything material — for example, if we add website analytics, start an email newsletter, or expand our service area — we will update this policy and update the “Last Updated” date at the top. For changes that affect how we use existing customers’ information, we will notify you directly by email or phone before the change takes effect.

Frequently Asked Questions About This Policy

Why is this privacy policy so much shorter than the ones I see on other websites?
Because we don’t collect or share much data, so the policy doesn’t have to describe much. Most company privacy policies are long because the company runs Google Analytics, Facebook Pixel, retargeting ads, an email marketing platform, lead-sharing partnerships, and a dozen other tools that each require their own disclosure. We don’t run any of those — we receive a phone call or contact form, we do the work, we keep the project file. The shorter policy reflects the smaller data footprint.
Does my insurance company see all the documentation 4Sure has on my project?
Only what’s necessary for the claim. When you authorize us to bill your carrier directly, we share the Xactimate estimate, the project documentation packet (psychrometric logs, moisture maps, thermal images, daily readings), and the Drying Goal Met certification. We don’t share unrelated information about you, your other properties, or any prior projects unrelated to the active claim. If you’d like a copy of exactly what we sent your carrier, we’ll email it to you within one business day.
Can I ask 4Sure not to keep photos of my property after the project closes?
You can ask us to delete the photos, but we cannot delete documentation required for warranty, IICRC compliance, or insurance audit purposes — typically the moisture readings, the Drying Goal Met certification, and identifiable thermal images during the dry-out. After the 7-year warranty and audit retention period ends, all project records (photos included) can be deleted on request. If you have a specific concern about a particular photo, call (385) 247-9387 and we’ll discuss what’s flexible and what isn’t.
If I leave a Google review of 4Sure, does that information get shared with you?
Google reviews are public — anyone can read them, including us. The review text, your Google profile name (typically first name and last initial), and the date are all visible to anyone who views our Google Business Profile. We do not have access to any private Google account information beyond what you choose to make public in your review. The same applies to reviews on Facebook, the Better Business Bureau, or any other public review platform.
What happens to my information if 4Sure Mold Removal closes or is sold?
If the company closes, customer project files would be retained for the legally required period (7 years for tax and construction records) by the dissolved company’s records custodian, then destroyed. If the company is sold or merged, customer information could be transferred to the new owner only for the same purposes described in this policy — continuing to honor warranties, respond to project record requests, and comply with retention requirements. Any change of ownership that would materially change how your information is used would trigger direct notification to all customers in the prior 24 months.
